Chase unapproved Jobber quotes with personalized follow-ups

By General Input

Every weekday at 8am, find my Jobber quotes that were sent at least 3 days ago and are still waiting on a customer decision, then chase them for me with a personalized follow-up email.

Start with Jobber List Quotes to pull open quotes along with their status and the date they were sent. A quote qualifies for follow-up only if it was sent 3 or more days ago and the customer has not yet responded. Skip anything that is already approved, already converted to a job, or still sitting in draft and never actually sent. Before doing anything else with a qualifying quote, call Jobber List Quote Notes and skip it if there is already a follow-up note from the last 7 days, so nobody gets chased twice in the same week.

For each quote that survives those filters, use Jobber Get Quote to pull the line items and the total, and Jobber Get Client to get the customer name and email address. If a quote has no usable email address on the client record, skip it and note that in the summary rather than failing the run.

Write a genuinely personalized follow-up email for each one. Reference the actual work that was quoted, naming the specific line items and the total, rather than sending a generic nudge to please get back to me. Escalate the tone based on how long the quote has been sitting: at 3 to 7 days keep it gentle and low pressure, just checking they got it and offering to answer questions; at 8 to 14 days be more direct with a clear ask for a yes or no and mention that scheduling is filling up; past 15 days send a final check-in that gracefully closes the loop and invites them to reach out if timing changes. Send each email with Gmail Send a Message.

Immediately after each successful send, record a note on that quote with Jobber Create Quote Note saying a follow-up was sent, which age bracket and tone was used, and the date. This note is what the 7 day duplicate check reads on future runs, so it must be written every time an email goes out.

Cap the run at 25 follow-up emails so a first run against a large backlog of historical quotes does not blast every customer at once. If more than 25 quotes qualify, prioritize the highest value quotes first and leave the rest for the next run, mentioning how many were deferred.

Finish by posting a summary to Slack with slackbot Send a Message. List everyone who was chased ranked by quote value, showing the customer name, the quote amount, a short description of the work, and how many days the quote has been outstanding. Include the total dollar value still sitting unapproved across all open quotes, and a short line noting how many quotes were skipped and why, for example already followed up recently or approved overnight.
