Enrich new Outreach prospects and route them to the right sequence

When a new prospect is created in Outreach, I want it enriched and routed automatically instead of sitting there half filled in with just a name and an email address. Trigger this workflow on an Outreach webhook subscription for prospect creation, and handle one prospect per event.

Start with the new prospect's email address and run Apollo People Enrichment on it. Then take the company domain, either from the prospect's email address or from the account the prospect is linked to, and run Apollo Organization Enrichment on that domain. Between the two lookups you are trying to establish four things: job title, seniority, company size measured in employees, and industry.

Before writing anything back, decide whether Apollo returned a confident match. Treat it as confident only when the enriched person's name and employer clearly correspond to the prospect you started with, and when the fields you need for routing actually came back populated, meaning at minimum a title or seniority plus a company size. A blank person record, a generic domain-only guess, or a company match you are unsure about all count as no confident match.

When the match is confident, use Update Prospect to write the useful fields back onto the Outreach prospect: job title, seniority, company size, and industry. Only fill in blanks. If a human has already entered something more specific in a field, leave their value alone.

Next, read the available cadences with List Sequences and pick the one matching the prospect's segment, using company size as the primary signal. As a starting point, treat 1000 or more employees as enterprise, 200 to 999 as mid market, and under 200 as small business. Match against the sequence names that actually exist in the account rather than assuming a naming convention. Enroll the prospect with Add Prospect to Sequence. If the prospect is already enrolled in an active sequence, do not enroll them a second time. If no sequence clearly corresponds to their segment, do not guess: skip the enrollment and flag it instead.

Then notify the prospect's owner in Slack. Read the owner from the Outreach prospect record, use List Users to get that person's email address, look the same email up in Slack to find their user, and send them a direct message. The message should name the prospect and their company, summarize what the enrichment found across title, seniority, company size and industry, state which sequence the prospect entered and why that segment was chosen, and link back to the prospect in Outreach.

When Apollo does not return a confident match, do nothing to the record. Skip the enrollment entirely, leave every prospect field untouched, and send the owner a Slack message flagging that this prospect needs a human to review and route. Include whatever partial information Apollo did return so the person has somewhere to start. Enrolling someone in the wrong cadence is worse than enrolling them late, so when in doubt, abstain and ask.
