Nightly class briefs that tell instructors who to greet

Every evening, each instructor gets their own Slack rundown of tomorrow's classes: headcount, who to welcome by name, and which classes need a push.

Every evening at 5pm, prepare my instructors for the next day's classes and post one brief per instructor to my studio Slack channel.

Start by pulling tomorrow's schedule from Mindbody with Get Classes, scoped to tomorrow's date. For each class on the schedule, hold on to the class ID, the class schedule ID, the instructor, the class name, the start time, the capacity, and the number booked. The capacity is what the under half full flag later compares against, so keep it.

For each of those classes, pull the roster with Get Class Visits and pull the people waiting on a spot with Get Waitlist Entries. Get Waitlist Entries requires staff credentials and either a class ID or a class schedule ID, so pass the IDs collected from Get Classes rather than trying to look them up again.

For every booked client, check their history with Get Client Visits and their profile with Get Client Complete Info. Use that to decide who is genuinely worth calling out to the instructor: anyone attending for the very first time, anyone coming back after a long gap of roughly 30 days or more since their last visit, and anyone about to hit a milestone visit number such as their 10th, 25th, 50th, or 100th class.

Do not dump the whole roster. A twenty person roster usually contains two or three people who actually matter for that session, and my instructors can already see the full list in Mindbody. Pick only the names that warrant a personal greeting and write one short, human sentence for each explaining why, in language the instructor can say out loud at the door.

Group everything by instructor so each teacher only receives their own classes, then send one message per instructor to my studio channel using Slack Bot. Use the Slack Bot integration for posting rather than the user based Slack integration.

Each message should open with the instructor's name, then cover every class they teach tomorrow: the class name and start time, the headcount against capacity such as 12 of 20 booked, how many people are on the waitlist, and the names to greet personally with the one line reason for each. Lead with first timers, since greeting a first timer by name is the highest leverage retention moment we have.

Flag any class sitting under half full against its capacity so we can promote it tonight, and call out any full class with people waiting so we can pull them off the waitlist. Keep each message short enough to read on a phone in the evening, and skip any instructor who is not teaching tomorrow instead of sending them an empty brief.
