Turn yesterday's first-time studio visitors into members

Every morning, each newcomer who tried a class yesterday gets a personal email naming the class they took and two or three real ones to try next.

Every day at 10am, turn yesterday's first time visitors at my studio into members. Run this on a daily cron schedule.

Start by finding yesterday's newcomers in Mindbody. Use Get Clients to pull the clients to consider, then for each candidate use Get Client Visits to look at their complete visit history. Only treat someone as a first timer if their visit history contains exactly one visit and that visit happened yesterday. Do not infer first timer status from a recent client creation date, because returning clients and re-registered clients can look new that way. Anyone with two or more visits on record is a returning client and must be excluded. From the single qualifying visit, capture the exact class name, the class type, the instructor who taught it, and the time of day it ran, because the email depends on those details.

Next, filter out the people who have already converted. For each first timer, use Get Client Services to see the pricing options they have purchased. If they already bought a membership or a class pack at or around that first visit, skip them entirely. They are already a member and should not receive a conversion email, be added to the welcome audience, or get a contact log entry.

For the newcomers who remain, use Get Classes to read the genuine upcoming schedule for the next 10 days. Work only from classes that are actually on the schedule. Only recommend classes that still have space available, and that are far enough out that the person has time to plan around them, so avoid suggesting something starting within the next few hours. Never invent a class, an instructor, or a time that is not in the schedule you read.

Then write and send each newcomer a personal welcome email using the Gmail Send a Message operation. Address them by name, thank them for coming, and name the exact class and instructor they tried so it is clear this is about their visit and not a mass mailout. Recommend two or three specific upcoming classes from the schedule you read, choosing ones that match what they took on class type and level and that land in a similar time slot, for example an early evening class for someone who came at 6pm. For each recommendation give the class name, the instructor, and the day and time, and add a short line on why it is a good next step for them. Keep the tone warm, personal, and brief, like a note from a studio owner rather than marketing copy.

Also add each newcomer to my Mailchimp welcome audience using Add or Update Member (Upsert) with their name and email address, so the record is created or refreshed without duplicating anyone. Then use Add or Remove Member Tags to tag them with the class type they tried, setting the tag status to active. The tag needs to reflect the actual class type so the downstream nurture sequence stays relevant and segmented instead of sending one generic welcome to everybody.

Finally, log the welcome back on the client's Mindbody record with Add Contact Log, noting that the first visit follow up email was sent, which class they attended, and which classes were recommended. That way studio staff can see the outreach already happened and do not repeat it in person.

If there were no genuine first time visitors yesterday, or every newcomer already bought a membership or pass, do nothing and send no email.

Credentials note: Mindbody client reads and Add Contact Log require a staff user token in addition to the API key and Site ID, so the connection must use a staff login with permission to read client history and write contact logs.
