Wake up dormant Keap leads with a researched reason

Every Monday at 8am, wake up my dormant Keap leads with a researched reason to reach out instead of another generic check in. The whole point is that nobody gets a template email just to fill a quota.

Start by building the list. Use Keap's List Tagged Contacts to pull every contact carrying my lead or prospect tag. Cross-check the results against List orders and List Payments and drop anyone who has ever bought anything, because this is only for people who never became customers. For everyone still standing, check List Notes and List Tasks on each contact and keep only those with no note and no task activity in the last 90 days. Also drop anyone already carrying the re-engagement tag from an earlier wave, so a person is only ever touched once by this workflow.

Rank whatever survives by how promising the contact looks, favouring recognisable companies, more complete records and more recent original activity, then take the top 15 for this run.

For each of those 15, research the person's company on the web and look for one recent, specific hook: a funding round, a hiring push, a new product launch, a press mention, an office or market expansion. The hook has to be real, recent and verifiable. If the research turns up nothing credible, do not invent a reason and do not send a generic email. Skip that contact and note why.

Where there is a good hook, draft a short two paragraph re-engagement email and send it with Keap's Send an Email. The first paragraph opens with the specific hook and connects it to why I am getting back in touch now. The second paragraph makes one soft, concrete ask. Keep it plain and human, roughly the length of a note a person would actually type, with no marketing voice and no phrases like just checking in or touching base.

After every send, log it back onto the record with Create a Note capturing the hook used and the email that went out, then stamp the contact with Apply Tag using my re-engagement tag. That tag is the dedupe key across waves and is what makes this safe to run every week. If a contact looks worth a live phone call rather than just an email, also Create a Task for that contact's owner with the reason and a suggested talking point.

Finish by posting a summary with Slack Bot's Send a Message to my sales channel: who was emailed with the hook used for each one, who picked up a call task, and anyone deliberately skipped because no credible hook turned up. If research was thin and only six people earned an email, six is the right answer and the recap should say so.

Make the 90 day dormancy window and the cap of 15 contacts per run easy for me to change, since those are the two knobs I expect to tune.
