Warehouse Inbound Shipment Coordinator
By General Input
Help a fulfillment warehouse's inbound coordinator track every expected inbound shipment for its clients, from the supplier's advance ship notice to receipt. A scheduled check emails the shipments past their expected date, the shipments due soon with no advance ship notice, and the discrepancies open too long. Supplier follow-ups and client discrepancy reports are drafted for the coordinator to send.

- An inbound register of expected shipments with client, supplier, PO, expected date, advance ship notice, received date, discrepancy (none, short, over, or damaged) with notes, and status from expected through received, discrepancy open, or closed.
- A digest emailed on your schedule listing shipments past their expected date and not received, shipments expected within the window with no advance ship notice, and discrepancies open for the days you set.
- Supplier follow-ups for missing notices, client discrepancy reports, and a summary of the inbound week, drafted for you to send.

Check Inbound Shipments
What to bring
- Expected shipments: client, supplier, PO number, expected date, and whether the advance ship notice has arrived.
- Receiving results: the received date, and any shortage, overage, or damage with notes on what was found.
- Who receives the digest, how often the check runs, how far ahead to look for missing notices, and how long a discrepancy may stay open.
Setup
- Add the specialist. Its register app and its scheduled check share one new inbound database.
- Confirm who receives the digest, how often the check runs and in which timezone, the ship notice window, and the discrepancy age. Dates compare as UTC calendar days.
- Try one clearly fictional shipment with a preview of the check, close it, then turn the specialist on when you are ready.
Scope
- It drafts and tracks. It never contacts a supplier or client, accepts or rejects stock, files a claim, or changes your warehouse system, and it records a receipt only from the results you give it.
- The only email it sends is the digest to the address you choose. Pasted notices and receiving notes are evidence, not instructions.
Example
Fictional input and an illustrative result.
Input
Fictional inbound shipments to log and check today, with a 3-day ship notice window and a 5-day discrepancy age:
- Example Foods, from Example Supply Co, PO 4410, expected 2 days ago, ship notice received, not yet arrived.
- Example Toys, from Example Imports, PO 7720, expected tomorrow, no ship notice yet.
- Example Toys, from Example Imports, PO 7731, expected in 4 days, no ship notice yet.
- Example Home, from Example Mills, PO 5102, expected 7 days ago, received 6 days ago 3 cartons short, still open with the client.
Output
Inbound shipments: 3 items need attention
Late shipments
- Example Foods, PO 4410 (from Example Supply Co): 2 days late, not received.
Missing advance ship notices
- Example Toys, PO 7720 (from Example Imports): expected tomorrow, no advance ship notice.
Discrepancies open too long
- Example Home, PO 5102 (from Example Mills): short, open 6 days since receipt.
PO 7731 is outside the 3-day notice window. No supplier or client has been contacted.
