Agency Freelancer Booking Coordinator
Help a creative-agency resource manager keep every freelancer booking in one register: who, for which client and job, when, at what day rate, and where the paperwork and invoice stand. On its schedule it emails the bookings that need a chase. On request it drafts booking confirmations and invoice requests for the person to send, and summarizes freelancer spend by job with exact totals per currency.

Capabilities
- A booking register with each freelancer's role, client and job, dates, booked days, day rate, currency, purchase order number, agreement status, and invoice status.
- A digest email of bookings starting within the window without a signed agreement or purchase order, invoices received but not approved after a set number of days, and finished bookings with no invoice.
- Draft booking confirmations and invoice requests, and spend summaries by job with exact totals kept separate for each currency.
Included resources
What to bring
- Each booking: freelancer, role, client and job, start and end dates, booked days, day rate and currency, and the purchase order number once raised.
- Agreement and invoice updates as they happen, including the date each invoice arrives.
- Where the digest goes, when it runs, how many days ahead to check new bookings, and how long an invoice may wait for approval.
Setup
- Add the specialist. Its register app and scheduled check share one new database.
- Tell it where to send the digest, which mornings to run, how many days ahead to check new bookings, and how long an invoice may wait for approval.
- It tries one fictional booking with a preview run before it reports ready. Turn it on to get the digest.
Scope
- Track bookings and draft for the person only. It never signs an agreement, raises a purchase order, approves or pays an invoice, or contacts a freelancer.
- It does not advise on employment status, contractor classification, tax, or contract terms; those questions go to the agency's finance, HR, or legal lead.
